In today's update, we're making it easier than ever for your organization to handle the transition between committee and staff, using Roles in more places for notifications - instead of targeting a specific user - and other changes to Tidy email handling to help make your life easier.

Roles in Billing, Shop and Membership Level Notifications

Firstly, we've added the ability to use roles, not just members, for the following:

  • Billing Contacts - Assign your Treasurer role to a billing contact, and whenever your committee changes, rest assured they'll always get your Tidy billing notices.
  • Shop Notifications - Assign notifications to a role in the shop, allowing you to notify your team working on selling items for your organisation every time an order is made
  • Membership Levels - Finally, use a role in memberships for notifications on sign up and you'll never have to go back and manually edit a bunch of levels when your memberships team changes.

These all aim to make it easier to handle the transition in a dynamic team and help you get set up for success with Tidy.

 

Forward Catch All Emails

Historically, Tidy has provided you with a shared inbox - any email not addressed to a specific role or tag, or in reply to an existing custom email, (e.g. a response to the membership emails sent to a member that Tidy sends out) - would end up in this inbox, requiring you log in and check occasionally to see if you have new emails.

Now, you can add "Mail Followers", under the communicate tab in settings - Any email not going back to a specific person will instead be forwarded (with some context) to everyone on this list.

This makes it easier than ever to keep track of mail coming into Tidy.

Finally, we've added a section to the same settings page as above, to allow you to see what configured well-known email addresses for Tidy are.

If you're trying to add a new group, role or similar and get errors that the email is already in use - you can now view exactly what is set up and where it's going.

 

Global Inbox Handling

We're starting to roll out improvements to your organizations handling of junk email. With the Global Inbox handling feature (which will be rolled out as opt-in, to avoid breaking backward compatibility), your organization will be able to opt-in making all inbox actions (e.g. read, archive, delete and most importantly - junk) global. This is the first step to improving how we handle spam email, and making sure your inbox is clean and manageable.

You can enable this option by going to Organisation Settings > Communicate, and opting in to "Enable Global Inbox Actions" like so:

This will enable the new inbox behaviour, and you can opt out at any time at the moment.

Notifications to Administrator for Memberships, Events & Shop would save quite a few man hours updating this each year

Marking an email as Junk or Moving it to Archives should affect everyone's inbox

As it stands, everybody that looks at the shared inbox has to weed through all the same junk/spam. If one person marks it as Junk it doesn't help anyone else.
